note: until we ad the AI scribe directly in Treatment planning – for now, do the transcription as a progress note in the Clinical tab. Then simply copy and past the transcribed text from the progress note, return to your account tab for this patient, choose the treatment plan and press Edit, then go to the Description tab for this treatment plan and and paste the transcription result.
AI Privacy & Professional Responsibility
Artificial intelligence can be a valuable clinical tool, but it should always be used responsibly.
When AI is used to transcribe a patient appointment, patients should be informed that the conversation is being recorded or transcribed. If you are simply dictating your own clinical notes to the AI after the appointment, this is comparable to using voice recognition software and does not involve recording the patient.
Regardless of how AI is used, the clinician remains fully responsible for the final clinical record. Every AI-generated note should be carefully reviewed, edited as necessary, and approved by the treating clinician before it becomes part of the patient’s chart.
DOMx AI is designed with privacy as a primary consideration. Patient information is processed through Microsoft Azure services hosted in Canada, and your clinic’s patient records remain under your control within your own DOMx database. Our implementation is configured so your clinic’s data is not used to train public AI models.
Our goal is to provide AI tools that support Canadian healthcare privacy requirements and help clinics use AI responsibly while maintaining professional standards. Each healthcare professional remains responsible for complying with the privacy legislation, regulatory requirements, and standards of practice applicable to their jurisdiction.
Healthcare-Grade AI vs. Public AI Services
Not all AI implementations are the same.
Many publicly available AI services are designed for general-purpose use. While they are excellent productivity tools, healthcare professionals should never assume they provide the privacy, security, data residency, or contractual protections required for handling personal health information.
DOMx AI has been designed specifically for healthcare environments.
Our implementation uses Microsoft Azure AI services hosted in Canadian data centres within a secured healthcare architecture. Patient information is processed through this protected environment, and the permanent clinical record remains under your clinic’s control within your own DOMx database. Our implementation is configured so your clinic’s data is not used to train public AI models, and we apply appropriate security controls designed for Canadian healthcare organizations.
Just as importantly, AI does not replace professional judgment. Regardless of the technology used, every AI-generated clinical note must be reviewed, corrected if necessary, and approved by the treating clinician before it becomes part of the patient’s health record.
Artificial intelligence is an incredibly powerful clinical assistant—but like any healthcare technology, it should be implemented with appropriate privacy safeguards, security controls, and professional oversight.
